Position Descriptions

The President shall:

Supervise and control the activities of the organization
Preside over all meetings and call all meetings to order
Be one of two signers on financial documents
Coordinate all conferences
Ensure all officers are purloining their duties as defines in this Constitution
Assign special projects to officers
Be familiar with Robert’s Rules of Order to conduct meetings

The Vice-President shall:
Assist the President in his/her duties
Assume the President’s responsibilities in his/her absence
Keep accurate records of all meetings in the Secretary’s absence
Perform an audit of all financial transactions of the organization twice a year
Assist in special projects as assigned by the President

 The Secretary shall:
Notify members of meetings via e-mail and/or telephone at least 48 hours in advance
Keep accurate records of all meetings
Maintain accurate lists of members and their contact information
Perform a verbal role call of all members and maintain an attendance record
Prepare ballots for elections
Keep copy of constitution and have it available for members
Assist in special projects as assigned by the President

 The Treasurer shall:
Keep an accurate account of all funds received and expended
Be one of two signers on financial documents
Be responsible for collecting dues and notifying members who are delinquent in their payments
Be responsible for creating budget reports at the beginning of each Fall and Spring semester and as requested by the President, Vice-President, and/or UCF faculty/staff advisor
Provide financial records sufficient to allow the Vice-President to perform audit
Assist in special projects as assigned by the President

The Historian shall:
The Historian takes pictures, collects OPA handouts and mementos, and creates a historical record of OPA activities in the form of a scrapbook. The historian is expected to take pictures at every event possible, and only if their schedule does not allow should they arrange for someone to take pictures at all events they are not able to attend. The historian is responsible for getting copies made of digital pictures and coordinating with the webmaster to get pictures of the executive board posted on the website. The historian should also oversee any committees to help create fun displays on behalf of OPA. It is preferable that the historian owns a digital camera. The historian must be reliable and artsy, scrapbooking aptitude and comfortable taking pictures.

The Volunteer Coordinator shall:
The volunteer coordinator organizes activities to get OPA members involved in the community. Activities are determined by the volunteer coordinator and must be  submitted for review to the Vice-President. The volunteer coordinator must also schedule to be at every volunteer event and keep a record of the members who came and coordinate a car pool. Only if their schedule does not allow should they arrange for someone else to be at the event to keep a record of who came and to coordinate a car pool. The volunteer coordinator must also e-mail all OPA members about each volunteer opportunity and all the information pertaining to it. The volunteer coordinator should be enthusiastic, take initiative and be a people person. 

 The Webmaster shall:
The Webmaster of Organization for Public Administration is responsible for maintaining and improving the OPA website. This position should be familiar with the OPA website and functions. The webmaster keeps up the site by adding OPA events and activities to the website, uploading files and photos, and editing page information promptly. The webmaster will mainly deal with the information and general appearance of the site and have the support of the entire OPA E-board if necessary. The webmaster should be driven to improve website, detail oriented, responsible and consistent with webmaster duties.
